A salary confirmation letter certifies that a person is currently employed at your company and states what they earn. Employees ask for one when applying for a bank loan, a credit card, a lease, or a visa — and banks and embassies in Sri Lanka are particular about what it must contain and who signs it.
It differs from a service letter in one key way: a service letter confirms employment history (dates and designation), while a salary confirmation letter additionally certifies current remuneration. Because it discloses salary information, issue it only at the employee’s request, address it “To whom it may concern” or to the specific institution, and have an authorised signatory sign it.

What to include in a salary confirmation letter
- The employee’s full name and NIC number
- Designation and whether employment is permanent, contract or probationary
- The date employment commenced
- Monthly remuneration — for bank/visa purposes, broken into basic salary, fixed allowances and gross
- The purpose the letter is issued for, and a contact for verification
- Authorised signature, designation, company letterhead and seal
Common mistakes employers make
- Guaranteeing the loan by accident. Add a line clarifying the letter is informational and not a guarantee of the employee’s obligations.
- Round-figure salaries that don’t match payslips. Banks cross-check against payslips and EPF; state the actual payroll figures.
- No verification contact. Banks call to confirm — include a phone number or email for HR.
- Issuing without a request. Salary data is personal; only issue on the employee’s request and for a stated purpose.
