Basic Reports
An HRIS (human resource information system) is one database of your employees that runs payroll, leave, attendance, documents and reporting. In Sri Lanka it must also handle EPF, ETF, APIT, gratuity and Shop and Office Act leave. Humanised is a cloud HRIS for businesses of 5 to 5,000 staff, from LKR 10,000 per month for up to 15 employees, with a free trial.

An HRIS keeps one record per employee and runs everything else from it. A Sri Lankan HRIS has to apply EPF, ETF and the IRD APIT tables, calculate gratuity, follow Shop and Office Act leave and the Poya calendar, issue Sinhala or English payslips and produce the C-form, R1/R4 and T10. Humanised does that as cloud software with published LKR pricing and no setup fee.
An HRIS is the system of record: one entry per employee holding personal and job data, contract, documents, pay history, leave and attendance, with payroll, self-service and reporting running from it. Vendors use HRIS, HRMS and “HR software” loosely; the table shows how the terms are usually meant in Sri Lanka. Humanised is an HRIS that includes payroll; for the broader product page see HR software for Sri Lanka.
| Term | Core job | What it stores | Who buys it in Sri Lanka | Typical price model |
|---|---|---|---|---|
| HRIS | The employee record and everything that runs from it | Profiles, contracts, documents, pay history, leave, attendance | HR executives and owners of 5–5,000-person companies | Flat tiers or per employee; Humanised is flat LKR |
| HRMS / HR software | HRIS plus recruitment, performance, training | The same record plus talent modules | Larger companies with an HR department | Per employee or on request, often with implementation |
| Payroll software | Salaries, EPF, ETF, APIT, payslips, bank files | Pay data only | Accountants and owners of small teams | Flat or per payslip |
A generic HRIS configured for Sri Lanka is not the same as one built for it. These are the items to test in a demo, each with the guide that explains the rule.
| Requirement | Humanised | Guide |
|---|---|---|
| EPF 8% employee and 12% employer on the right earnings; monthly C-form | Calculated every run; C-form and e-return file generated | EPF guide |
| ETF 3% employer; R1 or R4 and Form II | Calculated; R1/R4 generated | ETF guide |
| APIT with the current IRD tables, including Table 2 bonuses and Table 5 cumulative cases; T10 and annual statement | Tables updated centrally; T10 and annual statement generated | APIT guide |
| Gratuity provision and payment after five years | Provision tracked per employee; payout calculated | Gratuity calculator |
| Shop and Office Act leave with first-year proration; Wages Board variants | Leave types and proration built in | Shop and Office Act guide |
| Poya and mercantile holidays with 1.5× and 2× rates | Calendar loaded each year | Holidays 2026 |
| Payslips in Sinhala or English; bank transfer files for local banks | Both languages; files for the main Sri Lankan banks | Payslip format |
A ten-person office with no attendance tracking can run on payroll software for small business alone. The single record starts paying for itself when leave should feed no-pay, attendance should feed overtime, loans should feed deductions, and the same record should produce a service letter when someone leaves. That is the point at which two systems begin to disagree with each other. The long answer is in HRIS vs standalone payroll.
The record holds personal and bank details, NIC, EPF and ETF numbers, the contract and letters, pay history, leave balances, attendance, loans, expenses and documents with expiry dates. Payroll, leave, attendance and the app all read from it, and role-based access decides who sees what. See the employee management system page for the record itself.
Punches from a ZKTeco or HikVision device or the GPS app become hours, overtime and late marks under the shift rules; approved leave becomes paid or no-pay days; both land on the pay run before anyone types a number. The payroll then applies EPF, ETF, APIT and gratuity and produces payslips, bank files and returns.
Staff see payslips and leave balances, apply for leave, clock in with GPS and submit expenses in the employee app on iOS and Android; managers approve from their phones.
| Report | Who asks for it | How Humanised produces it |
|---|---|---|
| EPF C-form and contribution file | EPF Department / your bank | From the pay run, per month |
| ETF R1 or R4 | ETF Board | From the pay run, per month |
| APIT monthly schedule, T10 and Annual Statement of Employer | Inland Revenue Department | From the pay run; T10 per employee after 31 March |
| Remuneration and attendance records (reg. 17) | Labour officers | Payslip history and attendance log per employee |
| Service letter | Leaving employees, banks | Generated from the record |
| Headcount, joiners and leavers, leave balances | Management, auditors | Standard reports, exportable |

Human resource information system: one database of employees that runs payroll, leave, attendance, documents, self-service and reporting from a single record.
HRIS is the record and what runs from it; HRMS or HR software usually adds recruitment, performance and training on top; payroll software covers pay only. Vendors use the terms loosely.
Humanised, MiHCM, PeoplesHR, Better HR and Gallery HR are the main Sri Lankan-focused systems; OrangeHRM is used where payroll is run elsewhere. See the best HR software in Sri Lanka page.
Humanised is LKR 10,000 a month for up to 15 employees and LKR 25,000 for up to 50, with no setup fee. Better HR publishes LKR 399 per user per month; MiHCM, PeoplesHR and Gallery HR quote on request.
Humanised does, with the C-form, R1/R4, T10 and annual statement generated. Check each vendor’s own page; OrangeHRM, for example, has no payroll.
Yes. At 20 staff the single record already saves the re-keying between leave, attendance and payroll, and the Small Business tier covers up to 50.
Humanised produces all three from the pay run.
Yes, in the Humanised employee app on iOS and Android.
Fill our import template (names, NIC, EPF numbers, salaries, allowances, leave balances) and upload it; onboarding is included.
Humanised is hosted on Microsoft Azure in Singapore, with backups and role-based access controls; ask us on a demo to see the setup.
