HR Software Buyer’s Guide for Sri Lanka (2026)

Choosing HR software in Sri Lanka comes down to three checks: does it calculate EPF, ETF and APIT correctly; does its pricing model suit your headcount; and can you test it on your own data before you commit. This guide sets out what HR software, an HRIS and payroll-only systems each cover, a compliance checklist to hold any vendor to, and what to ask in a demo. Comparing named vendors? Most Sri Lankan buyers over-index on features and under-check compliance and pricing fit. Work through the sections below in order — what you actually need, what the law requires the system to get right, what it will cost at your headcount, and what to ask before you sign — and the shortlist narrows itself.

HRIS, payroll-only, or a full HR suite: what to buy

An HRIS (human resource information system) is the record-keeper: employee profiles, documents, leave and attendance. An HRMS adds payroll and performance on top of that. Payroll-only software runs the pay run without the records layer — you keep employee files somewhere else, on paper or in a separate system. “HR software” is the everyday term that covers all three.

Most Sri Lankan companies of 5 to 500 staff need an HRIS with payroll built in, because the two feed each other: attendance and leave produce the no-pay and overtime figures that go into the pay run, and the pay run produces the EPF, ETF and APIT numbers the law requires. Payroll-only fits a company whose HR records are already handled elsewhere — a group HR system, a manual register, or an outsourced HR consultant — and that only wants the pay run automated. See our separate HRIS guide for the full HRIS-vs-HRMS-vs-payroll breakdown.

A Sri Lanka compliance checklist: test every vendor against this

Ask any vendor to show you these on a live payslip, not a slide, before you decide:

A system can only ever calculate and prepare these filings from your pay data — the employer remains the one who submits them to the EPF Department, the ETF Board and the Inland Revenue Department.

How Sri Lankan HR software is priced

Three pricing models are on the market. Which one costs you more depends entirely on your headcount, so work out your own number rather than comparing headline prices.

Pricing modelHow it worksExample on the market
Per-employee / per-userA fee per active employee or user each month; the bill scales directly with headcountBetter HR: LKR 399 per active user/month on annual billing, all modules included
Flat-tierA fixed monthly fee for a headcount band, so the bill only changes when you cross a bandHumanised: LKR 10,000/month up to 15 employees, LKR 25,000/month up to 50, custom quote above 50
Quote-onlyNo price published; you get a figure after a sales conversation, often bundled with an implementation feeMiHCM and PeoplesHR do not publish prices; Gallery HR’s pricing page also returns no published amounts

Ten questions to ask in every vendor demo

  1. Can I see EPF, ETF and APIT calculated on a real payslip, including a partial month and a leaver’s final pay?
  2. Is the Poya and mercantile holiday calendar loaded for me each year, or do I have to maintain it myself?
  3. Does the system produce the EPF C-form, the ETF remittance form and the annual T10 — or do I still complete those separately?
  4. Is first-year leave proration built in, or does someone calculate it by hand for every new hire?
  5. If my accountant uses QuickBooks, Xero or another package, does payroll post a journal automatically, or do I export and re-key it?
  6. Are payslips available in Sinhala as well as English?
  7. Which attendance devices does it support, and is device integration included or a paid add-on?
  8. What is the total monthly cost at my current headcount, and at double it — and which pricing model is that (per-employee, flat-tier or quote)?
  9. Can I trial it on my own staff data before I sign, and who does the setup for that trial?
  10. Where is my data hosted, and what happens to it if I cancel?

Where Humanised fits, and where it doesn’t

Humanised is a flat-tier HRIS and payroll product built for Sri Lanka: the Startup plan is LKR 10,000/month for up to 15 employees, Small Business is LKR 25,000/month for up to 50, and larger teams move to a custom-quoted Enterprise plan — our largest customer today runs 750 employees on it. There is no self-serve sign-up: the trial is a seven-day period our team sets up on your own staff data, not a blank account you configure yourself. Integrations are cloud-only — QuickBooks Online, Xero and Zoho Books for accounting, and ZKTeco and HikVision for attendance devices — and the platform is hosted on Microsoft Azure in Singapore.

Worth a look if you

  • Employ 5 to 750-plus people in Sri Lanka and want records, attendance, leave and payroll in one system
  • Are replacing Excel, a desktop payroll program or a device-only attendance setup
  • Use QuickBooks Online, Xero or Zoho Books and want the payroll journal posted without re-keying
  • Want a trial run on your own data rather than a generic sandbox

Probably not, if you

  • Run payroll for staff outside Sri Lanka
  • Need recruitment, learning-management or performance-review modules as the core of the purchase
  • Want an on-premise system, or accounting integrations beyond QuickBooks Online, Xero and Zoho Books
  • Want to self-serve a trial with no setup call

Frequently Asked Questions

What’s the difference between HR software, an HRIS and an HRMS?

They describe the same category at different depths. An HRIS (human resource information system) stores employee records, leave and attendance; an HRMS adds payroll and performance; HR software is the everyday umbrella term. A payroll-only tool does none of the HR record-keeping — it just runs the pay run.

How is HR software priced in Sri Lanka?

Three models: per-employee per month (grows with headcount), flat tiers by employee band (a fixed monthly fee up to a threshold, e.g. Humanised at LKR 10,000 up to 15 staff and LKR 25,000 up to 50), or quote-only with no published price. Compare the total at your actual headcount, not the headline figure.

What should I check before buying HR software here?

Whether it calculates EPF, ETF and APIT correctly and prepares the statutory forms; whether it handles Shop and Office Act leave, Poya and mercantile holidays and payslip requirements; what the pricing model actually costs at your headcount; and what a live demo shows on your own data rather than a canned script.

Does the software file EPF, ETF or APIT for me?

No. Software calculates the contributions and prepares the forms — the C-form, R4 and T10 — but the employer reviews and submits them. No HR or payroll product files statutory returns on the employer’s behalf.

What’s a realistic implementation timeline?

For a straightforward move from spreadsheets, days to a couple of weeks: import staff data, run one pay cycle in parallel against your existing numbers, then switch over. Larger or more complex payrolls (multiple branches, devices, approval chains) can take several weeks.

Is a free trial the same as self-serve signup?

Not necessarily, and it is worth asking. Some vendors let you configure a blank account yourself; others, including Humanised, set the trial account up with your own staff data so you are testing the real thing, not a demo shell.

HRIS, payroll-only or a full HR suite: what should a small business buy?

If attendance and leave should automatically affect pay, an HRIS or full suite avoids two systems disagreeing with each other. If you only need to run a monthly pay run with no attendance tracking, standalone payroll software can be enough.

What compliance checks should Sri Lankan HR software cover?

EPF (8%/12%), ETF (3%), APIT bands, leave and overtime under the Shop and Office Act or your Wages Board decision, the Poya and mercantile holiday calendar, and a payslip that itemises every deduction separately.

What should I ask a vendor on a demo?

How EPF/ETF/APIT are calculated and which forms are produced; how leave, holidays and overtime are handled under local law; what a genuine implementation and migration looks like; and what hosting, security and support commitments back the platform.

Where does Humanised fit, and where doesn’t it?

It suits Sri Lankan employers of 5 to 5,000 staff on flat LKR tiers who want HR, payroll and attendance in one system, cloud-only, with a seven-day trial our team sets up on your own data. It is not a fit for on-premise hosting requirements or multi-country payroll outside Sri Lanka.
