What to include in an offer letter
- Designation, department, reporting line and work location
- Gross monthly salary, split into basic and allowances
- Statutory contributions the candidate should expect (EPF, ETF, APIT)
- Proposed start date and any probationary period
- Conditions: references, qualification verification, medicals
- An acceptance deadline after which the offer lapses, and an acceptance signature block
Common mistakes employers make
- No expiry date. An open-ended offer leaves headcount and budget hanging; give a clear acceptance deadline.
- Skipping conditions. If the offer depends on references or certificate verification, say so in the letter — withdrawing an unconditional offer is far messier.
- Quoting net salary. Quote gross salary and name the statutory deductions; “take-home” promises cause disputes after the first payslip.
- Treating the offer as the contract. Follow through with a proper appointment letter on day one — the offer letter alone doesn’t satisfy the written-particulars requirement.
