An HRIS keeps one record per employee and runs everything else from it. A Sri Lankan HRIS has to apply EPF, ETF and the IRD APIT tables, calculate gratuity, follow Shop and Office Act leave and the Poya calendar, issue Sinhala or English payslips and produce the C-form, R1/R4 and T10. What an HRIS is, and how it differs from HRMS and payroll software

An HRIS is the system of record: one entry per employee holding personal and job data, contract, documents, pay history, leave and attendance, with payroll, self-service and reporting running from it. Vendors use HRIS, HRMS and “HR software” loosely; the table shows how the terms are usually meant in Sri Lanka. HRIS or a standalone payroll system?

A ten-person office with no attendance tracking can run on payroll software for small business alone. The single record starts paying for itself when leave should feed no-pay, attendance should feed overtime, loans should feed deductions, and the same record should produce a service letter when someone leaves. One employee record, every module

The record holds personal and bank details, NIC, EPF and ETF numbers, the contract and letters, pay history, leave balances, attendance, loans, expenses and documents with expiry dates. Payroll, leave, attendance and the app all read from it, and role-based access decides who sees what. See the employee management system page for the record itself.

Payroll, leave and attendance run from the same record

Punches from a ZKTeco or HikVision device or the GPS app become hours, overtime and late marks under the shift rules; approved leave becomes paid or no-pay days; both land on the pay run before anyone types a number. The payroll then applies EPF, ETF, APIT and gratuity and produces payslips, bank files and returns.

Staff see payslips and leave balances, apply for leave, clock in with GPS and submit expenses in the employee app on iOS and Android; managers approve from their phones.
