Employee management system for Sri Lanka

An employee management system keeps one record per employee: NIC, EPF and ETF numbers, bank details, contract, documents, leave balances and pay history, and staff update them themselves. Humanised does this for Sri Lankan businesses of 5 to 5,000 employees and runs payroll, leave and attendance from the same record. From LKR 10,000 per month for up to 15 employees.

Humanised employee record

The record is the product. Every return the EPF, ETF Board and IRD ask for, every service letter and every payslip is built from fields on the employee record, so the system that keeps those fields correct is the one that keeps you compliant.

EPF member number and employer numberC-form, member statements, claims
ETF membershipR1/R4 and Form II
TINAPIT schedule and T10

Basic salary and allowances with EPF liabilityPayroll, EPF base, overtime rate
Bank, branch and accountSalary transfer file
Emergency contact, addressHR record; kept current by the employee
Documents: contract, NIC copy, certificates, licencesInspections, audits, renewals

Documents that never go missing

Contracts, NIC copies, certificates and licences sit on the record with dates, so a renewal or an inspection is a search, not a hunt through folders. Digital contracts and HR letters are generated from the same record.

Staff keep their own details up to date

Address, bank and emergency-contact changes are submitted in the employee app and approved by HR, so the bank file is right on pay day and nobody re-keys a form.

Leave, attendance and pay from the same record

Leave balances, attendance from devices or the app, loans and expenses all live on the record and flow into the pay run; the payslip, the C-form and the T10 are outputs, not separate data entry.

What records must a Sri Lankan employer keep?

The Shop and Office Employees Act requires a record of hours worked, overtime, holidays and leave for every employee (s.18), a service record and a remuneration record for every pay period with the items listed in regulation 17, and the written particulars of employment given under s.17; the Commissioner may call for two years of records (s.47). Wages Board trades keep the equivalent registers under their decisions. Humanised produces each of these from the record on request. The Shop and Office Act guide has the sections.

The same thing under two names: HRIS is the buyer’s term, employee management system is the manager’s. Both mean the employee record with payroll, leave and attendance running from it.

Both: payroll, leave and attendance run from the same record.
